Inviting your staff

Churchday runs best when your whole team can pitch in. Invite pastors, ministry leaders, and office staff, and each person joins with a role that decides what they can see and do.

Before you begin

  • You need admin access, the permission to manage your team. If you can open the Admin tab in Settings, you already have it.
  • Decide which role each person should have. Every church starts with a built-in Admin role (full access). Any other roles are ones you create yourself.
  1. Go to Settings and open the Admin tab. This is where your roles and current admins live.
  2. Find the role you want in the Roles list. Each role shows how many people hold it.
  3. Click Invite on that role. Churchday copies a link to your clipboard and shows "Invite link copied." The link points to churchday.com/join/... and is tied to that one role.
  4. Send the link to the person however you like, text, email, or a group chat. Anyone who opens it joins with that role, so share each role's link only with people who should have that level of access.

What the invited person sees

When they open the link, they land on a page that reads "You've been invited to join [your church] as [role]," with a short list of what they'll be able to do.

  1. They press Continue and sign in with a sign-in code sent to their email or with Continue with Google. There are no passwords anywhere in Churchday.
  2. If they're new, they add their first and last name as part of signing in.
  3. Back on the invite page, they choose whether to check Email me updates and Text me updates, then press Join [your church].
  4. They can add a few profile details (or skip for now) and land in your dashboard with the role you gave them.

Good to know

  • Prefer to invite one specific person? In the Admins section, click Add admin, search your contacts or type an email address, pick a role, and click Send invite. Churchday emails that person their own invite.
  • Only Admin is built in. To create a role with its own mix of permissions, click New role in the Roles section. To change what an existing role can do, click Edit next to it.
  • Change or remove access anytime. In the Admins list, open the role menu next to a person to switch their role or choose Remove.
  • An invite link isn't tied to one person. Anyone who opens a role's link can join with that role, so treat it like a key and only pass it to the right people.
