Plan the serving week. Know who's coming.
Build the roster by team and date, send serving requests, and see who has accepted or declined. Email requests include a response link that works without signing in.
Plan each role across the dates ahead
Add teams and serving roles, then assign people to upcoming dates in one schedule. Published recurring events roll forward; for a one-time event, turn on Request volunteers. Assignments stay private until a leader notifies the volunteers.
Give volunteers a clear way to respond
Choose whom to notify. An email request includes the serving role, date, any set time, and links to accept or decline without a login. The schedule shows who is waiting, accepted, or declined, so a leader can follow up from the response.
Respect availability and handle changes
Volunteers can mark dates they cannot serve and set serving preferences. A blocked date warns the scheduler, while leaving the decision with the leader. Remind someone who has not answered, or choose a replacement when someone declines.
How it works
Set up teams and roles
Add the roles a published recurring event needs, or turn on volunteer requests for a one-time event.
Assign and notify
Fill slots by date, then choose whom to send a serving request.
Watch and adjust
See responses, remind anyone waiting, and replace a declined assignment when needed.
Common questions
Do volunteers need an account to answer?
No. An email serving request has Accept and Decline links that open a response page without a Churchday login. Signed-in volunteers can also answer from their volunteer area.
Can volunteers see an assignment before it is sent?
No. Leaders can arrange the roster privately. A volunteer sees a request after a leader sends the notification.
Can volunteers swap a shift themselves?
No. A volunteer can change their own answer before the shift, but a leader chooses a replacement when someone declines.
How do reminders work?
A leader can manually remind someone who has not answered. Churchday also schedules a day-before email reminder for accepted shifts.
