How access works

Churchday gives you full control over who on your team can see and do what. There are no fixed staff tiers to memorize. Instead, you decide access two ways: give someone a role, or give someone access to a single tab.

Admins

Admin is the one built-in role, and it has full access to everything, including settings, billing, and managing the rest of the team. Every church needs at least one admin. When you create your church, you're the first one.

Custom roles

Beyond Admin, you build your own roles. A role is a name (like "Worship Leader" or "Front Desk") plus a checklist of exactly what that role can do, chosen from categories like Events, People, and Email. You can make as many roles as you need, so each person's access matches their actual job.

Each role comes with its own invite link. Share the link, and anyone who joins through it lands in that role. See Building custom roles.

Access to a single tab

Sometimes a full role is more than you need. Maybe you just want your worship leader to reach the Schedule, or a volunteer to run Check-in on Sundays. For that, you can give someone access to one tab and nothing else. It's the quickest way to hand off a single area. See Giving someone access to just one tab.

Tab access always stays limited: it lets that person work inside that one tab, but never unlocks admin-only areas like managing the team or changing settings.

Membership is not access

This is the part churches most often mix up. A person's membership (Subscriber or Member) is about their relationship with your church, not their access to the dashboard. Marking someone a Member does not let them into your dashboard. Dashboard access only comes from a role or tab access. Learn more in Subscriber vs. member.

Good to know

  • Visitors see only public pages. Anyone without a role or tab access can view your public event pages and church page, never the dashboard.
  • You can change or remove access anytime, and changes take effect immediately.
  • Some things are always admin-only: managing the team and roles, and Settings. No custom role or tab grant unlocks those.
