Giving someone access to just one tab

When someone only needs one part of your dashboard, you don't have to make them an admin or build a whole role. You can give them access to a single tab, and nothing else. It's perfect for a worship leader who only touches the Schedule, or a volunteer who runs Check-in.

Before you begin

  • You need the Admin role. Only admins can give access to a tab.
  • The person needs an email address. If you're choosing someone from your People list, make sure their profile has one.

Which tabs you can share

You can give access to tabs such as Events, Schedule, People, Email, Church, Forms, Check-in, Expenses, and Tap & Scan, one tab at a time.

Home and Settings can't be shared this way. Home is admin-only, and Settings is where access itself is managed.

Give someone access

  1. Open the tab you want to share (for example, Schedule).
  2. Click the settings icon at the top of the tab, next to its title.
  3. In the Access section, click Invite. A window opens showing who can reach this tab.
  4. Search for the person by name or email, or type an email address, and select them.

What happens next depends on whether they already use Churchday:

  • They already have a Churchday account with that email: their access is on right away. You'll see a confirmation that they now have access, and they show as Active in the list. The next time they open Churchday, they'll see Switch to manage, which takes them straight to the tab. We also email them so they know.
  • They don't have an account yet: we email them an invite, and they show as Pending. As soon as they sign in to Churchday with that email address, by tapping the button in the invite or by signing in at churchday.com, their access is on. There's nothing else for them to accept.

What the person sees

  • The button in their invite email always works. If they open it again later, it takes them back to their tab.
  • If they open the invite while signed in to a different account, Churchday explains and offers to switch accounts.
  • When they arrive, they see only the tab you gave them, plus their own account menu. If tab access is all they have, Volunteer shows under their name.

What tab access can and can't do

  • Inside that tab, the person can do what an admin could do there, like create and edit in Events, or assign volunteers in Schedule.
  • They never get admin-only powers. Managing the team and roles, and everything in Settings, stay off-limits no matter how many tabs someone is given.
  • Everything else in the dashboard stays hidden from them.

Manage or remove access

Open the same Access section on that tab's settings to see who has access, re-send an invite that's still Pending, or remove someone. Removing access takes effect right away, and their invite email stops working.

Good to know

  • Use the email they sign in with. Access follows the email address you invite. If they sign in to Churchday with a different address, they can still use the invite button in their email to claim it under the account they're signed in to.
  • Share a link instead. In the same window, Create invite link makes a link anyone can use to get this tab for 7 days. Only share it with people who should have access.
  • Tab access is separate from roles. A person can have a role and extra tab access, or just tab access on its own.
  • Membership doesn't grant access. Being a Member gives no dashboard access; only a role or tab access does.
  • Removing someone from your team also removes any tab access they had.
