Building custom roles
Instead of fixed staff levels, Churchday lets you build the exact roles your church needs. A role is a name plus a checklist of permissions, so you can create things like "Worship Leader," "Kids Check-in," or "Communications" and give each one precisely the right access.
Before you begin
- You need the Admin role to create or edit roles.
Create a role
- Go to Settings and open the team page. This is where your Roles and Admins are managed.
- Click New role.
- Name the role and add a short Description so your team knows what it's for.
- Choose the permissions. Permissions are grouped by area. Turn on just the ones this role should have.
- Save. The role is ready to assign or share.
What you can turn on
Permissions are organized by area, and within each area you pick exactly what the role can do:
- Events: view, create, edit, delete, suggest, and approve events.
- Schedule: view and manage volunteer schedules, and run check-in.
- People: view, add, edit, and delete people, plus manage tags, groups, and teams.
- Email & Text: view, send, and delete campaigns.
- Church: open the Church tab and edit your public page.
- Forms: view and manage forms.
- Expenses: submit, approve, and manage reimbursements.
- Plus areas like Settings, Billing, Tasks, and Worship.
Some permissions depend on others. For example, "Create events" needs "View events," so turning on the first turns on what it requires.
Good to know
- Admin is built in. You can't edit or delete the Admin role. It always has full access.
- Start small. Give a role only what it needs. You can always add more later, and changes take effect immediately.
- Each role has its own invite link. Once a role exists, you can share its link so people join straight into it. See Inviting people and assigning roles.
- For one-off access, skip the role. If you only need to hand someone a single tab, use tab access instead. See Giving someone access to just one tab.
