One QR code for every service: how self check-in works

Churchday gives your whole church a single check-in code. People scan it, tap their name, and Churchday records who showed up. You never make a separate code for each service and you never reprint.

Before you begin

Find your check-in code

  1. Open the Check-in tab. It opens on the Adults tab. The quickest way in is the Set up check-in for Sunday card on your dashboard home.
  2. Find the Adult check-in link & QR code card at the top. The QR code on it is the one code for your entire church.
  3. Note the link. The card shows your check-in web address. It always looks like https://churchday.com/c/ followed by your church's custom web address.

Share the code with your congregation

  • Tap the QR code to style and download it. The Customize your QR code window lets you add your logo and colors. Click Save to keep the design on the card, or Download PNG to save an image ready to print on a foam board, drop into your slides, or hand to a volunteer. You need permission to manage check-in to do this.
  • Click Copy to grab the link. This copies the check-in web address so you can paste it into a text, an email, or your church's app. The button briefly changes to Copied to confirm.
  • Kids too? The Kids tab next to Adults has the separate address and QR for the kids desk. See Kids check-in: how it works.

Because it's one fixed code and one fixed link, whatever you print or post keeps working week after week. There's nothing to swap out for next Sunday.

How one code knows which service to open

When someone scans the code, the page shows what's open right now: services marked Automatic inside their check-in window, and any event someone opened with Go live. They tap to check in, and it's recorded against the right date. The code, the Tap & Scan sticker and a kiosk all follow this same rule.

  • An Automatic service opens before it starts, 3 hours by default when you turn it on. You choose the time per service.
  • It closes on its own too, an hour after the service ends (or 3 hours after it starts with no end time) unless you choose other times on its Auto button. When your next Automatic service opens first, the earlier one closes then, so a 9:00 and an 11:00 aren't both open.
  • Two events open at once show as a choice. The person taps the one they came for.

Open or close a service yourself

You don't have to wait for the window. On the Adults tab, each service in the Events list has a button:

  1. Click Go live to open that service right now, even for a later date. The row shows a green Live badge and reads Opened by followed by your name, the time, and when it closes on its own: at the event's usual closing time, or when your next Automatic service opens. People who scan the code, or tap your Tap & Scan sticker, can check in straight away.
  2. Click Turn off to close it. For today's service it stays closed for the rest of the day, even inside its usual window. For a service you opened ahead of its day, Turn off simply undoes the early open.
  3. Click Back to automatic on the service's own page (tap its row) to clear what you set and let the window decide again. For an event that isn't Automatic, it reads Back to Go live only.

This only changes adult check-in. The kids desk has its own Go live on the Kids tab, and neither one touches the other.

See what's open right now

Under the QR card, the Events list shows every published event, live ones first with a green Live badge. Each row says in plain words what's happening, like Open on its own until 12:30 PM, Opens on its own at 9:15 AM, or Opens when you tap Go live, and how many people have checked in while it runs. Its Auto button shows whether it opens on its own: Auto · 9 AM or Auto off. Tap a row to see who's there. See See who checked in.

What people see outside the window

If someone scans when nothing is open, they don't hit a dead end. The page shows Nothing to check in to right now, lists the next few Automatic services with a Check-in opens at time for each one, and on a person's own phone offers Go to church page. A service you turned off for today isn't listed; its next date is. A shared door iPad stays on the check-in page.

Good to know

  • Setting an end time on your services gives the most exact close.
  • Checking in always takes a tap. Someone recognized on their own phone sees their name, who's with them, and the event, and nothing is recorded until they tap Check in. For a service opened ahead of its day, family members start unchecked.
  • Only published events appear. Drafts, private events, and events limited to one group stay off the shared code.
  • The same link works on NFC stickers. If you'd rather people tap their phone than open a camera, you can write this same web address onto stickers.
