See who checked in to a service

Each service has its own adult check-in list inside the Check-in tab. It shows everyone who checked in, newest first, and lets a greeter check someone in by hand. Volunteers who only have the Check-in tab can use it without access to Events.

Before you begin

  • You need the Check-in tab: an admin, or a volunteer invited to it. Anyone with the tab can see the list. Checking people in or undoing a check-in needs permission to manage check-in.

Step-by-step

  1. Open Check-in. It opens on the Adults tab. The Events list shows every published service, live ones first.
  2. Tap a service. The page shows the service's name and date, then two counts: Checked in and First-timers (people whose first check-in created their record).
  3. Check whether it's open. On today's or an upcoming service, a strip reads Live now or Not live with the reason, for example Open on its own until 12:30 PM. It refreshes on its own.
  4. Watch people arrive. The Checked in list shows each person with the time and how they checked in: Check-in QR, Tap & Scan link, By staff, or Kids desk drop-off for a parent who dropped kids off. New people have a New badge. The list refreshes every 15 seconds while the page is open.
  5. Check someone in by hand. Type a name, email, or phone number into the Check someone in box. Tap Check in next to the right person. They move into the list right away.
  6. Add a first-time visitor. For someone who isn't in your records yet, tap Add someone new (on a phone it reads Add new). Enter their first and last name and an email or phone number, then tap Add and check in. Anything you typed in the search comes along. If the email belongs to someone already in your records with the same name, or the phone does together with the same first and last name, Churchday checks in that person instead of adding them twice. If someone has the same name, or another adult uses the same phone, you'll see Is this them? first: tap Check in next to the right person, or No, add someone new. If the email is already on someone else's record (a couple sharing one address, for example), you'll be asked to use the new person's phone number instead.
  7. Fix a mistake. Tap Undo on a person's row, then Undo check-in to confirm. They come off this service's attendance, and you can check them in again from the search.

Look back at past services

  • Past check-ins at the bottom of the Adults tab lists the last 12 services that had check-ins, with how many people came. Tap one to open that service on that date. One-time events that have already happened are reachable here too.
  • On a repeating service, the date in the top right opens a list of dates. Dates with check-ins show how many people came, so you can jump straight to them. The arrows step one service at a time.

Good to know

  • Kids are counted on the Kids tab. Children checked in at the kids desk aren't counted here, so nobody is counted twice. The parent who dropped them off is. When kids were checked in, a line says how many, with a link to the kids roster.
  • Visitors you add aren't signed up for texts or emails. They can choose that themselves later. They show as New on this page and in your newcomers.
  • Undo removes that person's check-in for that date only. Their other dates and their profile aren't touched.
  • The adult QR opens on its own. Check-in opens 45 minutes before a service starts and closes 60 minutes after it ends. See One QR code for every service.
