Choose which events open check-in on their own
Check-in is for your services. Mark them Automatic and check-in opens on its own every time they happen. Every other event, like a lunch or a run club, opens only when someone taps Go live, so nobody gets checked in to an event by accident.
Before you begin
- You need permission to manage check-in: an admin, or a volunteer with the Check-in tab who can manage it.
- Your Sunday service may already be Automatic. Look for the green Auto chip on its row.
Turn on Automatic for a service
- Open the Check-in tab. Stay on Adults, or tap Kids for the kids page. Each tab has its own Automatic, just like its own Go live.
- Find the service in the Events list. Each row has a chip: a green Auto · 9 AM when it opens on its own, or Automatic when it doesn't.
- Tap Automatic. A small pop-up window opens.
- Choose when it opens. Pick 15 min, 30 min, 1 hour, 1.5 hours, or 2 hours before it starts. The window shows the result, like Every Sunday at 10 AM.
- Click Turn on. The chip turns green, and every date of the service now opens on its own.
To change the time later, tap the green chip, pick a new time, and click Save. To stop it, tap the chip and click Turn off. If it's the only Automatic event on that tab, Churchday asks first, because after that check-in opens only when someone taps Go live.
How long check-in stays open
- With an end time, check-in closes an hour after the service ends.
- With no end time, it closes 3 hours after the service starts. For an exact close, add an end time to the event. The pop-up window has an Add an end time link.
- Back-to-back services hand off. With a 9:00 and an 11:00, the 9:00 closes when the 11:00 opens (never before the 9:00 ends), so people arriving for 11:00 aren't asked which one they came for. This holds even when you opened the 9:00 early with Go live.
Open any other event with Go live
- Find the event in the Events list. An event that isn't Automatic reads Opens when you tap Go live.
- Click Go live when it's time. People can check in right away, at your QR code or on your Tap & Scan sticker.
- There's nothing to turn off afterward. Go live closes on its own an hour after the event ends, or 3 hours after it starts when it has no end time, even when that's after midnight. Click Turn off to close it sooner.
Good to know
- With nothing Automatic, you'll see a warning on the Check-in tab and on Tap & Scan. Without an Automatic service, check-in never opens on its own, and Smart check-in sends everyone straight on to your link.
- Special services, like Easter or a worship night: turn on Automatic ahead of time, or tap Go live at the door.
- Both tabs share the opening time. A service that's Automatic for adults and kids opens on both at the same time.
- Two events open at once? People pick the one they're at.
- New churches start ready. The weekly service you set up when you join Churchday is Automatic on both tabs.
- The event editor shows it too. Under Check-in, an event says Automatic with how long before it opens, or Go live only, with a link to change it on the Check-in tab.
- Back to Go live only. On a service's page, clearing a Go live or Turn off reads Back to automatic for an Automatic event and Back to Go live only for any other.
