Set up volunteer positions

A position is one serving role you need filled each time an event happens, like a Sound Tech on your Worship team. Before you can assign anyone, you set up which positions each event needs and how many people each one takes.

Before you begin

  • You need access to the Schedule tab. That means the Admin role, or a role or invite that grants Schedule access.
  • Recurring events show up on the Schedule page automatically. For a one-off event, turn on Request volunteers in the event editor so it appears here.
  • Your teams and their roles come from the People area. The Schedule reuses whatever you have already set up there.

Add a position

  1. Open the Schedule page. Click Schedule in the left sidebar. Each event that needs volunteers has its own grid of upcoming dates.

  2. Click Add. In the top-left corner of an event's grid (the cell above the dates), click Add to open the Add position window. You can also open a team's ... menu and choose Add role to start with that team already filled in.

  3. Choose a Team. Pick one of your existing teams from the Team dropdown. Need a new one? Choose + Create team at the bottom of the list to make it without leaving this window.

  4. Choose a Position. Under Position, pick the specific role, like "Greeter" or "Usher." Choose + Create new position to add a role that does not exist on that team yet.

  5. Set How many needed each week. Use the stepper to choose how many volunteers this role needs, from 1 to 20.

  6. Click Add position. The role appears under its team in the grid, ready for you to assign people.

Repeat for each role you need.

Edit or remove a role

Each role row has a ... menu next to its name:

  • Edit role lets you change How many needed each week, then click Save changes. This is the only thing editing changes. The role name and its team stay the same.
  • Remove role deletes the role from this event. This also removes anyone already assigned to that role on this event, so use it with care.

Manage a whole team

Each team band has its own ... menu next to the team name:

  • Add role opens the Add position window with that team already selected.
  • Reorder lets you drag teams and roles into a new order. It appears once there is more than one team or role to arrange.
  • Remove team takes all of that team's positions off this event, along with their assignments. The team itself stays in your People area.

Good to know

  • Teams, their roles, and the emojis next to each role all come from the People area under teams. The Schedule simply reuses them. If a role has no emoji of its own, the Schedule shows a default one.
  • Removing a role or team here only affects this event's schedule. It never deletes the team or role from People.
  • Positions are set per event. On a recurring event, the roles you add apply to every occurrence going forward.
