Add an event to the schedule

An event appears on the Schedule tab once you add it. This article shows both ways to do that so you can start assigning people to serve.

On the redesigned Schedule: Add event

If your church is on the redesigned Schedule, only the events you add are on the tab, whether they repeat or not. You do not need to leave the tab:

  1. Open the Schedule tab and click Add event at the top right (it also appears in the empty state when nothing is scheduled yet).
  2. Pick the event from the list of published events that are still running. Type to search by name. A repeating event shows "Repeats" with the date its series started.
  3. The page lands on the new event's card, ready for you to Add roles.

If you do not see Add event, your church is on the classic Schedule. Use the switch in the event editor below.

To take an event off again, open the ... menu beside Notify on its card and choose Remove from schedule. Its roles come off and past dates keep their roster; if people are still assigned on upcoming dates, remove those assignments first. You can add the event again any time.

On the classic Schedule: the event editor switch

Repeating events (like a weekly Sunday service) show up on the classic Schedule tab on their own. A one-off event, such as a Christmas concert or a workday, does not, until you ask for volunteers on it.

Before you begin

  • You need access to manage events and volunteer scheduling for your church.
  • The event needs to already exist. If it doesn't, create it first, then come back here.
  1. Go to the Events page in the sidebar and open the event you want volunteers for.
  2. Land on the Event tab. This is the event editor. It opens by default when you open any event.
  3. Scroll down to the Volunteers section. You'll see the heading Volunteers with the note "Schedule people to serve at this event."
  4. Turn on the Request volunteers for this event switch. The helper text explains what happens: "Adds this event to the Schedule tab so you can assign volunteers. It stays there until the event is over, then drops off automatically."
  5. Save your change. If the event is still a draft, click Publish. If it's already live, click Save. The switch only takes effect once you save.

Once the event is published and the switch is on, it appears on the Schedule tab, ready for you to assign volunteers.

Good to know

  • The event has to be published to appear. If it's still a draft, the switch shows an extra note: "It shows up once the event is published." Publish the event and it will show up on the Schedule tab.
  • Repeating events are handled for you on the classic Schedule. If your event runs on a repeating schedule, there's no switch to turn on. Instead you'll see a note that reads Already on the Schedule tab with the explanation "Because this event repeats, it shows on the Schedule tab automatically. Open it there to assign volunteers for each date." On the redesigned Schedule, add a repeating event with Add event on the Schedule tab instead.
  • It cleans up after itself. After the event's date passes, it drops off the Schedule tab automatically. You don't need to turn the switch back off.
  • This is separate from assigning people. Turning the switch on only puts the event on the schedule. To actually place people in roles, open the Schedule tab and assign them per role.
