Tags vs. Groups vs. Teams: Which One to Use
Churchday gives you three ways to organize the people in your church: Tags, Groups, and Teams. They look similar at first, but each one is built for a different job. This article explains the difference so you can pick the right one.
Where to find them
Tags, groups, and teams all live on the People page. Along the top you'll see tabs: All, Tags, Groups, Teams, Households, and Audiences.
Click a tab to switch between them. The tab you're on shows in the web address (for example, the Tags tab adds ?tab=tags), so you can bookmark or share a link that opens straight to that view.
Tags
A tag is the simplest option: just a text label you stick on a person. A tag has a name and nothing else, so there's no icon, description, or roles to fill in.
Reach for a tag when you only need to mark someone with a characteristic or milestone.
Examples: "New Believer," "Baptized 2026," "Spanish Speaker"
Groups
A group is a community that people belong to. Groups carry more detail than a tag: each one has an Icon, an optional Description, and roles you can assign to members.
Groups also have Visibility settings. You choose whether a group is Public (shown on your church's public page so people can find and join it) or Private (hidden, so you add members or share an invite link). When a group is public, you also pick who can join: Anyone can join for instant sign-up, or Admin approval so people request to join and you approve them.
Reach for a group when people gather or belong together over time.
Examples: "Young Adults," "Tuesday Bible Study"
Teams
A team is for people who serve together. Like a group, a team has an Icon, an optional Description, and roles. The key difference is what those roles do: a team's roles double as the serving positions used in volunteer scheduling. When you build a schedule and ask people to serve, you're filling the roles you set up on the team.
Reach for a team when the people involved sign up to serve.

Good to know
- There's no color picker in Churchday, so you can't choose a color for any of the three. Tags always appear as plain text, and groups and teams show the icon you pick.
- A person can be in any number of tags, groups, and teams at the same time.
- Not sure which to use? If you just need a label, use a tag. If people belong to something, use a group. If people serve, use a team.
