Choosing Who Can Sign Up for an Event
Who can see an event and who can sign up for it are two separate choices. For example, a members' meeting can show on your church page for everyone while only your members can register. This article shows you how to set Who can sign up? and what people see.
Before you begin
- You need the Admin role or an events grant for your church.
- The event takes sign-ups on Churchday: Register or RSVP under How people respond. An event set to Link doesn't show this choice, and neither does a one-time event set to No sign-up.
Step-by-step
- Open the event and find "Who can see this event?" In the event editor, the section sits near the top.
- Find Who can sign up? On a one-time event it is right under who can see the event. On a repeating event, the Who can sign up row shows the current choice; click Edit next to it.
- Pick who can sign up. Choose one:
- Anyone who can see it is the default. Everyone who can see the event can sign up, as before.
- Members of your church means people marked Member on your People tab. The line under it shows how many people that is.
- Specific groups or teams means only people in the groups or teams you pick. Tap each one to choose it.
- Save. On a one-time event, use Save at the top of the editor. On a repeating event, click Save for all dates in the window. The choice applies to every date.
You're all set. Church admins and the event's hosts can always sign up, even if they aren't marked Member or aren't in the groups.
What people see
- Someone who can sign up sees the event page as usual.
- Someone signed in who can't sign up sees the event and the line "Only members of" your church "can sign up for this event" where the Register button would be. For groups it reads "Sign-ups for this event are limited to certain groups." Group names are never shown.
- Someone signed out sees the same line and a Sign in button, so your members can sign in and come back to the sign-up form.
- Someone who signed up before you changed the setting keeps their spot. They see it with a link to cancel, but they can't change their answers, add guests, or add family.
- Family and guests come along with someone who can sign up, whether or not they are members themselves.
- RSVP buttons in your emails follow the same rule: a person who can't sign up sees the line instead of Yes, I'll be there.
Good to know
- Membership approval matters. If membership approval is off in your church settings, anyone can become a member right away, so "Members of" your church limits less than you might expect. The editor points this out when you pick it.
- Open groups matter too. If a group you pick lets anyone join right away, anyone can join it and then sign up. The editor says so under the groups.
- Someone who should be able to sign up but can't usually has a People record that isn't marked Member, or signed in with a different email than the one on their record. Update their record on the People tab, then they can sign up.
- Check-in isn't affected. Anyone who shows up can still be checked in, and you can always add people yourself from the event's Attendees tab.
- Who can see the event doesn't change. It works exactly as before. See How the Public Event Page Works.
- Co-hosts can't change this setting unless they can also edit your church's events. Like who can see the event, it belongs to the church.
